General Terms and Conditions for Exhibitors
1. Parties

Eligible exhibits
Exhibits will be limited to companies or products approved by Lif Exhibition. An approved company may exhibit products, equipment and services. All products, equipment and services must comply with Danish law and regulations as minimum and from April 1, 2011. The Danish Ethical Rules for Promotion of Pharmaceuticals towards Healthcare Professionals (“Lægemiddelindustriens kodeks vedrørende reklame mv. for lægemidler overfor sundhedspersoner”), if the exhibitor is a member of Lif or otherwise regulated by “Etisk Nævn for Lægemiddelindustrien” (ENLI). Companies regulated by ENLI are obliged to give notice to ENLI regarding the exhibition, as described in the code in section 21 (1) (c).
It is the responsibility of the exhibiting company to comply with all of the above rules and regulations. Lif Exhibition reserves the right to refuse booth rental or terminate a contract, if the company does not comply with the regulations. In the event of a contract termination, Lif Exhibition shall refund the payments in full, including deposits.
Please note that Lif Exhibition does not require that event programmes are specific health care educational or final before booking an exhibition or booth, as required by ENLI.
2. Booth allocation and costs
The allocation of booths shall be conducted by Lif Exhibition. Lif Exhibition reserves the right to change the original booth allocation and shall notify the exhibitor’s authorised representative hereof.
The booth is located near the meeting room - and never in the same room - as the scientific programme is presented.
Booth costs shall be outlined on the Lif Exhibition website for each event.

3. Conditions of payment
Lif Exhibition fully complies with the VAT regulations. The invoice will be send from DLI.

4. Event modifications and cancellations
Cancellations by Lif Exhibition
Lif Exhibition shall be authorised to cancel the event due to unforeseeable occurrences (e.g. official measures, industrial disputes, force majeure etc.) and to retain only such part of the exhibitor’s booth costs as shall be required to compensate him for reasonable expenses incurred up to the time of such cancellation. All remaining fees shall be refunded. In the event of cancellation by Lif Exhibition or the organizers, no hotel or airline expenses shall be reimbursed by Lif Exhibition.
Cancellations by exhibitors
Exhibitors shall be authorised to cancel their booth reservations at any time by written notice to Lif Exhibition. Lif Exhibition will refund payments based on the criteria listed below:
- Cancellation more than 4 weeks prior to event start date: Full refund
- Cancellation 3 weeks prior to event start date: Half refund
- Cancellation less than 1 week prior to event start date: No refund
A non-refundable fee will be withheld to cover administrative costs. Exhibitors are responsible for cancelling any other reservation (e.g. hotel or airline reservations) made in connection with the event. Lif Exhibition retains the right to resell any booth cancelled by the exhibitor.
5. Booth space and activities
All booths must be set up and ready at least 30 minutes prior to opening of the event. Any booth space not occupied will be considered a no-show, and the space will be forfeited by the exhibitor. The forfeited space may be resold or used by Lif Exhibition without obligation for any refund whatsoever, unless arrangements for delayed occupancy have been made.
The exhibitor shall not be authorised to share the booth with any other company or sub-let it to another company or to entrust it to the booth in any other way.
The exhibitor shall only be allowed to display and distribute advertising material and to address visitors within his own booth space.
Activities at, and operations of, the booth shall be carried out in such a way that no nuisance will be caused to the event as such or to neighbouring booths. In cases to the contrary, Lif Exhibition shall be authorised to exclude the exhibitor from the event. In the event of exclusion, Lif Exhibition will not refund any payments.
6. Fire safety regulations
Exhibitors are responsible for knowledge of and adherence to all fire and safety codes, and must follow the guidance given by any representative of the event venue. All signs and equipment must conform to Danish standards.
7. Liability
Lif Exhibition shall only be liable for damages or gross negligence, loss of life, bodily injury and impairment to health caused by the event venue, its employees and agents.
There shall be no further liability on the part of Lif Exhibition.
The above limitations of liability shall also be valid for the personal liability of employees, representatives and organs of Lif Exhibition as well as for the liability of Lif Exhibition’s vicarious agents.
8. Insurance
Lif Exhibition will bear no insurance risk on behalf of the exhibitor. The exhibitor is explicitly urged to make use of his own possibilities of insurance. Lif Exhibition assume that exhibitors are adequately insured.
Further, exhibitors are encouraged to make security arrangements for sensitive or valuable items. Lif Exhibition will bear no responsibility for the property of exhibitors.
9. Visitors and staff
If no other agreement has been made, admission will only be available to registered visitors and staff of at least 18 years of age. Proof of age may be required.
Lif Exhibition shall not be liable to any visitor for damages he may have suffered due to the behaviour of an exhibitor or staff employed by an exhibitor. In particular, the exhibitor and his staff cannot be considered as vicarious agents of Lif Exhibition.
10. Amendment of terms and conditions
Lif Exhibition reserves the right to amend these terms and conditions at any time. All amendments shall be binding on the exhibitor with the provision that the exhibitor is advised of any such amendment. Any matters not specifically covered herein are subject to decision by Lif Exhibition.
