Tips & hints

During several years, Lif Exhibition has accumulated experience and knowledge regarding demands that are made on the premises in order to ensure a successful event to the delight of the participants, exhibition promotors and exhibitors. Lif Exhibition also wishes the event to be beneficial and positive for all parties, therefore we offer our assistance in connection with the planning of an event as soon as possible in the process – before the premises have been chosen. This service is free of charge.

Pieces of advice for the organizer:
Are you about to plan an event, but have not yet decided where the event is going to take place, we suggest that you to consider the following questions:

• Is the geographic location central for the target group?
• Can you characterize the target group in such a way that it becomes clear to the potential exhibiting companies, and can you give a realistic estimate of the number of participants?
• What is included in the booth rental fee – participation in the meeting, lunch, dinner etc? Will the booth staff be allowed to participate in the social event, if any – and at what cost?
• Is the conference room large enough, are all able to see regardless of their seating in the room, are conditions as ventilation, light and sound in order? Is access to an extra conference room for smaller groups needed? Is the conference room placed naturally in relation to the show room?
• How many exhibitors are expected to participate? Is there room enough for them – also when serving coffee or the like in the show room?
• When you prepare the programme remember to allow time for the participants to see the exhibitions and comply with the time schedule.
• Have you noticed the Danish Legal Board of Self-Regulation concerning Pharmaceuticals?

Pieces of advice for the exhibitors:
Are you considering an exhibition in connection with an event, we suggest that you take note of the following questions:

• Do you know the target group for the event and is this group the one that you would like to contact?
• How many people from the target group will participate?
• Does the time for the event fit with your other activities as regards the resources as well as strategic marketing?
• Do you have appropriate information material, or do you need to produce new material, and are you able to manage that?
• What are your success criteria for the participation, and do they commensurate with the total expenditure and the time consumption?
• Would it be possible to fulfil the criteria for success in another and maybe more inexpensive way?
• Have you noticed the Danish Legal Board of Self-Regulation concerning Pharmaceuticals?
• Have you obtained a copy of the programme and a drawing of the exhibition area?

If you have registered for an exhibition, we have some good advice on how to prepare your exhibition in the best possible way:

• Prepare a checklist of material that you would like to bring along for instance:
• Number of leaflets/flyers/books/posters, amount of gimmicks (Sweets, ball pens, container for gimmicks.)
• Decoration? Light, lamps, cables, sockets, flowers, vase, tablecloth, table, chair and carpet.
• Does the exhibition area fit your stand? Are you familiar with the conference facilities? If not, do not hesitate to ask Lif Exhibition for advice.
• Training of personnel at the stands.
• Transport of items for the exhibition/insurance/responsibility.
